Long Signatures

Some people believe the longer your email, the further down the food chain you are but others such as identity designer Jeff Fisher use email as a powerful branding tool. Let’s take a look at his signature to see what I mean.

Short Signatures

Personally I use a short signature and I believe this works for me. People can click on the link to go to my website to find out what they want to know without chewing up email space. Below you can find my email signature.

I know there are pros & cons for both methods but what is your take? How long is too long? How short is too short? Should you include an image or not? Do you believe that the longer your email signature the further down the food chain you are or should we be using our email signatures as powerful branding tools?

You not only want more business — you need more business to succeed.

The desire to ramp your business up a notch may be especially intense during these challenging economic times when the freelance marketplace may be more competitive than ever.

The good news is that you can do it. You can ramp things up, and you can grow your business. Almost any business can do this by making a few simple changes.

Here are three “tried and true” techniques that you can use right now to grow your freelancing business:

1. The “One More” Rule

Many years ago a former supervisor challenged a group of us. “Imagine what you can achieve if you work just one extra hour per week” she encouraged us. She was right! Doing just a little bit more on a regular basis can yield big results in the end. You can easily apply this principle to your own business. If you’re a writer, try writing one extra article (press release, chapter, and so on) each day. If you’re a coder, try coding one extra line each day. If you are contacting potential clients, try making one extra contact. The possibilities for applying the concept are endless, but the positive results for your freelance business are real.

2. The “Plus ___” Principle

Take a good look at your business. What is it that you currently offer to your clients? Chances are that you’ll be able to identify one specific product or service: programming, web design, writing, and so on. Now, brainstorm about what services or products would complement the product or service that you already offer. Find a way to add them to what you offer. Suddenly, you’re not just a web designer — you’re a web designer plus an image consultant. You’re not just a writer — you’re a writer plus an editor. Expanding your offerings to existing customers is a natural way to expand your business.

3. The Scheduling Precept

Whatever business task you are performing, schedule it. Whenever I’m faced with a large project, I “schedule” milestones to help keep me on track. This is not something clients generally require me to do — rather it is something that I do on my own so that I am assured of staying on track. Likewise, administrative and marketing tasks should also be scheduled. It’s very easy to accidentally let networking or answering e-mail eat up an entire day, but if you’ve scheduled a limited time each day to deal with each then the time shouldn’t get away from you.

Hopefully this will lead to more cool resources published in the sidebar, and a better chance for you guys to promote yourselves on FreelanceFolder.

So, if you’ve got an article to share, just hop on over to the community link submission page and fill out all of the details as you would normally. Otherwise you can kick-back and enjoy the links :-)

Note to spammers: Everything is run through Akismet, and we still get to manually review each submission — so don’t even bother trying to submit an irrelevant link!
The other 90% is given off as heat.

Seems like a lot of wasted energy, doesn’t it?

Well, it’s no different when it comes to prospecting for clients. Most of the time energy freelancers put into a promotional effort is wasted.

It usually goes something like this: You send out hundreds of letters, make dozens of cold calls or go to a handful of networking events, only to end up with just one or two golden nuggets — the few prospective clients that have an immediate need for your services.

It’s true that those few “hot prospects” are ultimately what we’re all looking for. But, too often, the difference between just “getting by” and earning an executive-level income as a freelance professional lies in what you do with prospects who are NOT ready to hire you.

The “Not Today” Crowd

Take, for instance, a direct mail campaign. Or maybe a cold-calling effort. If you’re lucky (and with the right list, call to action, copy or script), you might get 5 out of 100 people to respond. From that select group, maybe a single prospect will become a client within a few days or weeks.

Now, that doesn’t mean that the other 4 who responded don’t need or want you. Assuming there’s a good fit, they might just not have a current need. Or maybe they don’t have the budget to hire you at that moment.

That’s why I call these prospects the “not today” group.

But here’s where many freelancers drop the ball. Instead of trying to nurture these high-probability prospects (the 4 who expressed interest but couldn’t hire you at the time), most folks just forget about them.

Sure, they might attempt a follow-up call here and there. But many such calls take the wrong approach. They go something like this: “Hi, Jim. Pat Jones here. Calling to see if you have any projects I can help you with.”

That comes across as desperation more than anything else. Plus, most marketing professionals today don’t have time to field these “do you have work for me” calls.

The Right Way to Stay in Touch

What very few freelancers ever do — and what you should attempt if you want to boost your income — is to start a meaningful dialogue with this “not today” group … regardless of their timing to hire you.

In other words, you should work diligently to nurture these people over the long haul. Not with calls to see if they have a project for you. But with carefully timed, value-added information.

Think about it. These people have expressed interest. They’ve responded to your call to action. Most of them are qualified to do business with you. You’ve probably even had some honest dialogue.

In other words, you’ve already done most of the heavy lifting. Now you just need to stay top of mind (without being a pest). That way, the next time they need a freelancer in your profession, you’re the first person they think of!

Not staying in touch in a meaningful way is wasteful. And crazy! In my case, more than 25% of my income every year comes as a direct result of my nurturing efforts.

These are companies that I’ve contacted in the past. But at the time, they didn’t have a need or a budget. Yet my steady, value-added contact helped me stay memorable until conditions were right to hire me.

So, how can you strategically nurture this “not today” group? Here are some practical ideas:

#1: Ask permission to add them to your newsletter distribution list. A highly targeted email newsletter with valuable, insightful and practical content gets read. It builds credibility. It positions you as an expert in your field and as someone with great ideas. Better yet, it helps keep you top of mind with hundreds of potential prospects.

But don’t just stop there…

#2: Send an occasional email with relevant news. Have a new service offering? A new capability? An impressive case study of how you helped a similar company solve a pressing problem? Thought of another way you can help the prospect? Send him or her a quick email every couple of months. Be brief, but be personal.

And if you really want to set yourself apart…

#3: Stay in touch by mailing relevant articles. Personally, this is my favorite way to become memorable. While I use the other 2 strategies above, I love to send my clients and prospects articles I think they’ll find interesting and useful, based on what I know about them and their businesses.

And if you really want to make an impact, send the actual cutout (or printout) of the article via postal mail with a Post-it note attached to it. On that note, write a simple message. Something like, “Hi, Jill. Thought you’d find this article interesting. Take care! Ed Gandia.” And make sure to include your business card.

Be genuine in your approach. And again, always be personable without coming across as a stalker. Also, don’t send everyone the same article. Make sure what you send is relevant to each prospect, based on what you know about them.

Regardless of your income goals, a prospect-nurturing program should be a key component of your marketing process. It will enable you to get more out of every dollar and every minute you spend promoting your services.

There’s just no reason to let all that valuable “prospecting energy” go to waste.

Contrary to how festive you might be feeling, however, now is actually the perfect time to get your paperwork in order for this year’s income taxes.

With everything together and organized by January 1st, you will be able to file your 2008 tax form quickly and (nearly) painlessly. If you are due for a tax refund, filing early can help you get your money back as soon as possible.

So, gather up all those unfiled papers now and start to sort through them. Starting on taxes early also gives you a chance to find or ask for copies of any records that you are missing.

(Note: The post is geared towards taxpayers living in the United States, though others may still benefit. This post does NOT constitute specific professional accounting advice. For help with your particular tax question, consult a tax specialist.)

Here are 10 things you should keep for tax purposes:

Receipts for office supplies - Generally speaking, office supplies that you use for business purposes are tax deductible. Office supplies can include anything from paper for your printer to postage for your business letters.

Receipts for equipment. Did you purchase any new equipment for your business this year? If you bought a new computer or a new printer (or other equipment) in the past year, then you may be able to deduct the cost of the purchase over several years through depreciation.

Receipts for business-related entertainment. If you took a client out to lunch or dinner and if the occasion was business-related, then you may be able to deduct up to 50 percent of the meal’s cost.

Receipts for business-related travel. If you had to travel to meet with a client or to perform work, then your business-related travel is fully deductible. Be careful, however, automobile and transportation expenses must be split between personal use (which is not deductible) and business use.

Receipts for professional training. Did you take a training course to expand your business skills this year? Professional development and training is deductible.

Records pertaining to your use of a home office. Many freelancers want to take the home office deduction, which can also allow them to deduct a portion of the utilities and other home office related expenses. That is fine, but remember that there may be restrictions on taking the deduction if you also use your home office space in a non-business capacity.

Pay stubs. If you have clients that still use paper checks, be sure to gather up any pay stubs that you have received. U.S. Clients are required to send a Form 1099-MISC if they have paid you over $600 in a calendar year, but many will forget to send the form or are unaware of the requirement. Regardless of whether you receive a 1099 form, you must still report the income.

Health Insurance premiums. If you are not eligible for health insurance from your employer or your spouse’s employer, then you may be able to take the cost of your health insurance premiums as a tax deduction.

Record of contributions to your retirement plan. Contributions to many types of retirement plans, such as IRAs or SEPs, provide you with many tax advantages. Check your specific plan to see if it qualifies.

Record of quarterly tax payments. If you are self-employed, then odds are that you should be paying quarterly estimated tax payments. If you have overpaid on your estimated, then you may be due a refund.

Plus - Last year’s tax return. It is a good idea to review last year’s tax return to make sure that you have not missed anything.

The above is general list of tax information that most freelancers need. Instead, it is designed to give you a head start on your tax planning. It is not intended to be a comprehensive list of every possible document that you might need to complete your income taxes.

Working above and beyond to get great customer feedback and solid word-of-mouth advertising isn’t always enough to keep the bills paid and the fridge stocked, so any client-grabbing advice is welcome news to the harried freelancer.

But did you know that underserved, ready-to-buy clients might already be visiting your website? Let’s take a look at how to use statistics tools and SEO plugins to find these “hidden” visitors to your website, and then how you can convert them into clients.

First, Take A Look At Your Unexpected Traffic Sources

If you’re not already using a stats-gathering tool for your website or blog, you need to start doing it immediately. The easiest free web-based stats tool to use is Google Analytics, and you can easily add it to your site even if you don’t consider yourself a techie. Just sign up and get a free account, follow the instructions, and you’re on your way.

Once your stats tool has been gathering data, take a look at the keywords that bring traffic to your site and keep an eye out for unexpected search terms that you’re ranking for. For example, my blog was optimized for time management keywords but I realized that I was getting a good number of hits for things like “double your sales” and “triple your wealth.” I Googled those phrases and to my surprise I ranked #5 and #1 for those terms, respectively. That was an eye-opener, because business-builders are my main client base.

You see, these seemingly random terms that lead people to your site are important because it means that for those keywords, you probably rank on the first page of search results, which is very, very good. Because if you add more content to your site around those phrases, you’re going to continue to rank well for a focused group of searchers that want what you’re offering. Once you’ve identified these unexpected terms that bring qualified visitors to your site, you can move on to the next step:

Begin Writing Additional Content To Strengthen Your Ranking For Those Visitors

If you rank well on accident, it likely means that you don’t have a lot of competition for those keywords and creating targeted content can only make your ranking better. Once I realized that sales-based articles brought me traffic, I began to write more about how time management could help you “double your sales.” Web traffic increased, and I began to have more entrepreneurs contact me and ask for coaching.

If you write more target content for the unexpected keywords that bring traffic to your site, you have the opportunity to keep a dominant position on Google’s front page and bring even more of that highly qualified traffic your way. Just write an article series based on those keywords and add some strong internal linking to connect the articles and you’re on even better footing. Then you can move to the final step:

Optimize Your Pages For SEO To Bring In More Traffic

Remember, you’re ranking for these keywords accidentally, so being a little more diligent about it can only help you leverage them more. Here are two simple things you can do to optimize your pages SEO-wise, even if you don’t know a whole lot about SEO:

Use your search engine results to link to your services. If you’re ranking on the first page of results for a random article or page you’ve written, make the most of it. Edit that page so that it has links back to your services page or contact forms so that when the visitor arrives, they are steered towards a buying decision.

Get the All-In-One SEO Plugin if you have a blog. This plugin is easy to install and use to add some SEO power to your blog posts. Download the plugin here and read this tutorial or watch this video on how to use it.

Start Drawing In More Clients Without A Whole Lot Of Extra Work

Remember, you’re ranking well because you don’t have a lot of competition for those keywords (yet). Take advantage of that. Find those hidden gems, create some content based around them, and lead visitors to your service pages every chance you get. Do this well, and you may find yourself with a healthy boost in paying jobs before you know it.

Maintaining a healthy physical and mental routine every day is crucial to remaining productive and hardworking on a regular basis, especially if you want to perform at a high level.

The stress of being an entrepreneur is enough to take a huge toll on your life and business if left unchecked. On top of that, it’s impossible to avoid burnout and even depression without properly taking care of yourself.

With that dire warning behind us, let’s move on to some health tips that you can use to remedy the situation and keep yourself working at peak performance physically and mentally.

Here’s a simple-yet-powerful health blueprint for entrepreneurs:

Get 20 minutes of cardiovascular exercise every day

It’s been shown that even this small amount of exercise has a more powerful effect on your well-being than Prosac or any of the strong anti-depressants. With that kind of endorphin-boost, this is a must for anyone who needs peak mental performance on a regular basis. Oh, and there are a lot of other benefits too, like living longer and looking good.

Eat a decent breakfast

This one almost goes without saying, but not quite. Many entrepreneurs are in such a hurry that eating just takes the back-burner — but that’s not a smart move. Without breakfast you’re likely to take a performance hit so big it will easily cancel out the 10 minutes you gained by skipping breakfast, and probably a lot more than that.

Take a 10 minute walk every 2 hours of computer use

Sitting in front of a computer all day causes your body to release adrenaline and cortisol. Over a short period of time these hormones boost energy and focus, but over the long term (days and weeks at computers) they cause a technology-related burnout. You can avoid this by taking 10 minute breaks every few hours.

By making your break a walk you’ll get the added benefits of a little exercise and some good thinking time.

Avoid caffeine and simple sugars

Both caffeine and sugar have a similar effect on your body — spiked energy for a bit followed by a dive. Caffeine does this by tricking your brain into releasing adrenaline, and sugar does this by directly effecting blood glucose levels. Unfortunately, the human body inherently overreacts to both of these things, leading to the dive. Using either tactic too frequently will sap your long-term ability to stay energized. By avoiding temptation and eating better you will set the stage for more natural energy on a regular basis.

Frequently snack on fruits and veggies

The best way to create a powerful flow of energy all day long is to have a small snack every few hours. Complex carbs, fruits, and veggies are all excellent choices. Eating something every few hours helps keep your metabolism burning consistently, which will provide a lot of energy and will also help you loose weight (depending on how much you eat).

Drink a lot of water

Without getting too scientific, our bodies basically require water to run properly. You know that concentrated thinking that is so valuable? Your brain needs to be hydrated to do that. How much you actually drink should depend on your body weight, but a good rule of thumb is to just carry some water with you and sip on it all day.

Get 8 hours of sleep every night

I know that many people profess to being able to work hard on just a few hours of sleep, and in a some rare cases that might be true, but for the vast majority of people getting a solid 8 hours is the best way to go. It’s been shown in several studies that sleep deprivation has severe negative effects both physically and mentally. It’s also not possible to ‘catch-up’ on sleep, so it’s critical to develop a regular pattern.

So, how many of these rules do you break? Are you suffering the consequences?

Whether it’s answering client emails, scribbling some concept designs or writing a full website, attending to your freelancing whilst on someone else’s dime is a risky business.

What I’m going to suggest in this article, though, is quite different.

If you’re a full-time or part-time freelancer in need of a bit of extra cash to make ends meet, look for a job which allows you to freelance whilst earning: taking multi-tasking to the whole new level of multi-jobbing. (Also known as “empty job” freelancing.)

Get Paid For Being There

In order to make this work you need to find a job which basically pays you for being there, rather than for doing stuff. These jobs don’t usually pay very well, but they do give you ample free time — and with little else to do but twiddle your thumbs you can easily get on with your freelancing.

Some examples are:

Babysitting

House-sitting

Receptionist jobs (especially if you’re willing to work the night shift)

Some sorts of jobs where you’re on call, like technical support

Medical trials

I currently babysit for a couple of lovely girls twice a week. I’m mainly paid to be there — they’re old enough to occupy themselves most of the time — so I take my laptop along and get an hour or so of freelance work done in between walking them home from school and cooking their dinner. Evening shifts are even better; once the kids are in bed I have several hours in which I can get work done.

There are a few drawbacks to multi-jobbing, though. The first is usually the lack of equipment (e.g. no internet connection, or no computer at all). The second difficulty is the number of interruptions related to the job.

Both of these can be overcome with a little forward planning.

Difficulty #1 — Lack Of Equipment

Some freelancers have it easier than others when it comes to being able to work from anywhere. Copywriters can get away with any old computer and a USB pen (or, in a real pinch, a notebook and an actual pen). Graphic designers and computer programmers will have more problems.

If you’ve got access to a computer (either your own laptop, or a machine at the place you’re working), you can get some useful stuff done — even if you don’t have an internet connection. How about writing those lengthy emails you’ve been putting off (you can send them once you’re online again)?

If you don’t even have a computer, you can still make profitable use of your time. Why not take along some of those books and journals you’ve been wanting to read, or sketch out ideas for your next project in your notebook?

Difficulty #2 –Frequent Interruptions

If you’re being paid to be somewhere, chances are that you’ll occasionally be called upon to do something. These interruptions mean that it’s almost impossible to get into that state of creative “flow” whilst you’re multi-jobbing. The solution is to work on low-brainpower bits of a project instead; those SEO articles you could write in your sleep, or that website redesign that’s mostly a lot of tedious copy-and-pasting.

Alternatively, do some administrative tasks. If you hate fussing around with invoices then this could be a good chance to get through them. If you keep meaning to label/file your emails properly, get it done.

How About You?

If you like the sound of this multi-jobbing stuff (“What, I could get paid to sit and do my accounts?”) then why not give it a try? Try Craigslist or, if you’re in the UK, Gumtree to look for childcare, house-sitting or casual receptionist jobs.

The best thing about multi-jobbing is getting paid twice for each hour of your time. If you’ve never experienced this, try it out some time soon — it’s a great feeling.

And if you’re a multi-jobber yourself, it’d be great to hear about your experience in the comments!

There are many ways to use feedback to grow your business. You can use it to:

Discover what you are doing well.

Generate new ideas based on your client’s comments.

Learn new directions that your business could expand into.

Identify situations where you need to be more careful.

Determine areas where your skills need improvement.

There’s no denying that feedback is important to business success, but many freelancers don’t receive much of it from their clients. It’s all too common to send a project to a customer and not hear from them until they need your services again.

In a traditional corporate environment, employees normally get performance information in the form of a performance review. In most cases, they get also get feedback in the form of regular comments from their supervisors.

If you’re a freelancer, you need to be more aggressive about getting accurate feedback from your clients. While some clients are more than willing to volunteer their perspective on how well you are doing without any effort on your part, you will have to ask most clients to provide you with this information.

It’s easy to avoid asking for feedback and assume that if the client doesn’t make any performance-related comments then you must be doing well, but that might not be the case at all. How many times have you walked into a store or restaurant and received lousy service and thought to yourself “I’m never ever coming back here” even though you never complained to the management?

Even when the client is satisfied, it’s a good idea to find out if there is a way that you can improve your service to them. If you have a long-term relationship with a client from whom you receive regular projects, then it is well worth your effort to try to get some periodic input about your performance from that client. You can do this casually by simply asking the question, “how do you like what I’ve done so far?” Or, in some situations, you could design a specific survey for all of your major clients to complete.

Regardless of the method that you use to generate your feedback, there are a few key points to remember when you receive it:

Your client has taken time out of his or her busy day to provide you with this information so be sure to thank your client for their participation.

It’s possible that you will get some information that you don’t really want to hear — look at these comments as an opportunity to learn and improve.

Follow-through on the information that you receive with action steps. It’s one thing to get feedback — it’s another thing to respond to it appropriately.

Prioritize your response. If you receive a lot of feedback, then tackle the items in one-by-one, beginning with those areas that are most critical to your success.

I know that this sounds like a whole post on how we, as freelancers, can get something that most employees dread — a performance evaluation. In fact, you may have been looking at the lack of performance reviews as a “benefit” of freelancing.

But there’s a reason you should ignore that thought and continue to pursue feedback. Provider-client relations are critical to a successful freelancing career. In my business I’ve experienced firsthand the benefits of “seeing” my work from another’s perspective. This type of feedback can help every freelancer learn and grow.
